1. Who we are
Caveres Inc. (“Caveres,” “we,” “us”) is a US company that makes field-measure, customer-approval, and ordering software for window and door dealers. This policy covers our website, the ways we communicate with you by email and on calls, and the Caveres Measure mobile app and web dashboard (together, the “app”). Section 14 explains how the app handles information. If your company has a separate written agreement with us, that agreement also applies, and it controls if it conflicts with this policy.
Questions about this policy go to mike@caveres.com.
2. What we collect
Information you give us
- Demo request form: your name, work email, company, primary window / sliding glass door manufacturer, primary entry door manufacturer, and number of window and door projects completed per month. You can also give us the names and email addresses of up to four teammates.
- Discovery call form: your name, company, work email, phone number, primary window / sliding glass door manufacturer, primary entry door manufacturer, number of window and door projects completed per month, and the call time you pick.
- Email and calls: what you send us by email and what you tell us on a call, including details about your business, your products, or an order error you walk us through. Please don’t send us your homeowners’ personal information unless we ask for it for a specific reason.
Teammates. If you give us a teammate’s name and email, please only do so if you’re allowed to. We use it to send that person demo access and follow up about the demo. They can opt out or ask us to delete it at any time.
Information collected automatically
When you visit the site, our hosting provider and any analytics or advertising tools we use may automatically collect your IP address, browser and device type, pages you view, the page that referred you, the date and time of your visit, and similar usage information, using cookies and similar technologies. See section 4.
Information from other sources
We may collect business contact information from public sources, such as dealer websites and publicly listed manufacturer dealer directories, so we can contact dealers who may be interested in Caveres.
3. How we use it
- To respond to you and send the demo you asked for, including access for any teammates you added.
- To schedule and hold discovery calls, and to prepare for them. For example, we use your manufacturers and project volume to make the demo or call relevant.
- For sales outreach and follow-up about Caveres, including pricing and availability.
- To send product updates and news about Caveres. You can opt out at any time (see section 9).
- To run, secure, and improve our website and understand how people find and use it.
- To measure and improve our advertising, if we run ads (see section 4).
- To comply with the law, enforce our terms, and protect our rights and the rights of others.
6. We don’t sell your information
We do not sell your personal information for money, and we don’t rent or trade our contact lists.
Some state privacy laws, including California’s, treat letting advertising pixels collect information for targeted ads as a “sale” or “sharing” of personal information, even when no money changes hands. If we use the Meta, LinkedIn, or Google pixels described above, that activity may count as “sharing” under those laws. You can opt out by emailing mike@caveres.com with the subject line “Do not sell or share,” or by turning on Global Privacy Control in your browser.
7. How long we keep it
We keep personal information only as long as we need it for the purposes above. In practice, we keep demo and discovery requests, related emails, and call notes while we are in active conversation with you and for up to three years after our last contact, unless you ask us to delete them sooner, you become a customer (in which case our customer agreement applies), or the law requires us to keep them longer. Website analytics data is kept according to the settings of the tools that collect it. When we no longer need information, we delete it or remove what identifies you.
8. Security
We use reasonable administrative, technical, and physical safeguards to protect personal information, such as limiting access to people who need it and using reputable, access-controlled service providers. No website, email, or storage system is completely secure, so we can’t guarantee absolute security. If you think your information has been compromised, please tell us at mike@caveres.com.
9. Email choices
You can stop sales and marketing emails at any time by using the unsubscribe link in the email, replying and asking us to stop, or emailing mike@caveres.com. We honor opt-out requests promptly and within 10 business days, as required by the CAN-SPAM Act. Our commercial emails identify Caveres as the sender and don’t use misleading subject lines. Even after you opt out of marketing, we may still send you messages about something you asked for, such as demo access or a call you requested.
10. Your privacy rights
Depending on where you live, you may have the right to:
- Know and access the personal information we have about you, and get a copy;
- Correct information that is inaccurate;
- Delete your personal information;
- Opt out of the sale or sharing of your information, targeted advertising, and certain kinds of profiling; and
- Appeal our decision if we decline your request.
Many US states, including California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, and others, give residents some or all of these rights. We’ll respond to requests from anyone in the US, not only residents of those states, where we reasonably can.
How to make a request. Email mike@caveres.com and tell us what you’re asking for. We’ll confirm your request, verify your identity (usually by confirming you control the email address we have on file), and respond within the time the law requires, generally 45 days. You can use an authorized agent; we may ask for proof that the agent is allowed to act for you. To appeal a decision, reply to our response with “Appeal” in the subject line and we’ll review it and tell you the outcome. We won’t treat you differently for using any of these rights.
11. California residents
This section adds details required by the California Consumer Privacy Act, as amended by the California Privacy Rights Act (together, the “CCPA”). In the past 12 months, we have collected the following categories of personal information:
| Category | Examples | Source | Disclosed to |
|---|---|---|---|
| Identifiers | Name, email address, phone number, IP address | You; your teammate; public sources; your browser | Service providers; advertising partners (IP and online identifiers only) |
| Professional information | Company, manufacturers you carry, monthly project volume, details you share on a call | You; public sources | Service providers |
| Internet activity | Pages viewed, referring page, form submissions, device and browser type | Your browser, through cookies and pixels | Service providers; advertising partners |
| Approximate location | City or region inferred from IP address | Your browser | Service providers; advertising partners |
We collect this information for the purposes in section 3 and keep it as described in section 7. We don’t collect sensitive personal information as defined by the CCPA, and we don’t use personal information to infer characteristics about you. We don’t sell personal information for money. We may “share” identifiers, internet activity, and approximate location with advertising partners for cross-context behavioral advertising, as described in section 6, and you can opt out as described there. We have no actual knowledge of selling or sharing the personal information of anyone under 16.
California residents can make the requests described in section 10 by emailing mike@caveres.com.
12. Children
Our website and services are for businesses and are not directed to children. We don’t knowingly collect personal information from children under 13. If you believe a child has given us personal information, contact us and we’ll delete it.
13. Changes to this policy
We may update this policy from time to time. When we do, we’ll change the effective date at the top of this page, and if the changes are significant we’ll take reasonable steps to let you know, such as a notice on the site. Your continued use of the site after an update means the updated policy applies.
14. The Caveres Measure app
Window and door dealers use the Caveres Measure app (on iPhone and on the web) to schedule measure visits, record measurements in the field, check them for errors, get the homeowner’s approval, and send the job to their office for ordering. This section explains what the app handles and why.
Who the app is for. The app is used by dealer staff, such as measure techs, salespeople, and office staff, whose company (the “dealer”) sets up their accounts. Homeowners don’t sign in to the app; dealer staff enter homeowner information about the dealer’s own customers.
What the app collects
- Account information: the dealer staff member’s name, work email, the company they work for, and their role, plus sign-in records such as when the account was last used.
- Job and customer information: what dealer staff enter for a job, including the homeowner’s name, the job address, contact details such as phone and email, scheduling details, and notes.
- Measurements and product details: opening sizes, room and floor, the window and door products selected, configuration options, site conditions (for example, whether an opening is near water or a door), and any errors or warnings the app flags.
- Photos and drawings: pictures of window and door openings, labeled drawings, and the outside of the home, taken with the device camera or chosen from the device’s photo library. The app only uses the camera or photo library when a staff member chooses to add a photo, and it asks for permission first.
- Customer approvals: if the dealer uses the approval feature, the homeowner’s signature or electronic approval and the date and time they approved, and, if approval is requested by email, the email address it was sent to.
- Technical information: basic information the app needs to work and stay secure, such as device type, operating system and app version, and error details if something fails. We use this only to run, fix, and secure the app.
The app doesn’t collect your precise location, contacts, microphone audio, or health information.
How we use it. We use app information to provide the service to the dealer: storing and syncing jobs between the field and the office, checking measurements for errors, sending approval requests and confirmations the dealer asks us to send, preparing order paperwork, giving support, and keeping the app secure and working. We also use app information to operate, maintain, improve, and develop the app and our services, for example to make measurement checks and error detection more accurate, fix problems, and build new features. Where we reasonably can, we do this with de-identified or aggregated information that doesn’t identify a homeowner, a staff member, or a dealer, and we may keep and use that de-identified or aggregated information to operate, improve, and develop our services. We don’t sell app information, and we don’t use it for advertising.
Product catalogs and setups. When we set up a dealer, we build product catalogs and configurations, such as manufacturer product lines, options, size limits, and measurement rules. These catalogs and configurations are Caveres material, and we reuse them for other dealers who sell the same products. They don’t include the dealer’s customer or job information.
Dealer catalog corrections. When dealer staff flag a problem with a catalog entry (for example, that a color or option has been discontinued), we keep those corrections as part of our catalog material. We use them to update our catalogs and a shared corrections database (including with confidence levels), and to improve the service for that dealer and for other dealers who sell the same products. Those flags don’t include the dealer’s customer or job information.
No tracking or ads in the app. The app has no advertising and doesn’t contain advertising pixels, and we don’t use app information to track you across other companies’ apps or websites. The cookies and pixels described in section 4 apply only to our website, not the app.
Where it’s stored and who can see it. App information is stored on our servers in the United States with our hosting provider, and on the device so the app can work offline. Within a dealer’s account, the dealer’s own staff can see that dealer’s jobs. A dealer’s customer and job information (such as homeowner details, addresses, measurements, photos, and approvals) stays with that dealer and isn’t shared with or shown to other dealers. We share app information only with service providers who help us run the app (for example, hosting and email delivery), under contracts that limit their use to providing services to us, and as described in section 5 for legal, safety, and business-change reasons.
Homeowner information. When a dealer enters information about its homeowner customers, we handle it on the dealer’s behalf, for the purposes described in this section. Homeowners who have questions or want to access or delete their information should contact the dealer they worked with. We’ll help the dealer respond, and you can also email us at mike@caveres.com.
How long we keep it. We keep app information for as long as the dealer’s account is active. We don’t delete it automatically, because dealers rely on their job history and records. We delete app information only when a dealer closes its account or asks us to delete data. When that happens, we delete it or remove what identifies people within 30 days, and backup copies are removed within 90 days, unless the law requires us to keep it longer. A deletion request doesn’t apply to de-identified or aggregated information that no longer identifies anyone, or to the product catalogs and configurations described above.
Deleting an account. Dealer staff can ask us to delete their app account and its personal information by emailing mike@caveres.com from the email on the account, and the dealer’s administrator can ask us to remove any staff member’s account. Deleting a staff account doesn’t delete the dealer’s job records, which stay with the dealer’s account.
Security. The app sends information over encrypted connections, and access is limited to signed-in users of the dealer’s account and to Caveres staff who need it to provide support. Section 8 also applies.
Children. The app is a business tool for adult dealer staff. It isn’t directed to children, and we don’t knowingly collect children’s information through it.
